A global gaming enterprise sought to integrate privacy review processes following a major acquisition of multiple entities. Each newly acquired group had unique processes, which made it difficult to maintain consistent governance or generate enterprise-level reporting. Over a six-month engagement, we partnered with stakeholders to implement a centralized web application that supports privacy reviews aligned with regulatory requirements. The result is a more cohesive environment that strengthens collaboration and improves visibility across teams.

Aligning privacy practices across a newly expanded enterprise

As a global gaming enterprise encompassing multiple studios, our client delivers entertainment experiences that reach players around the world. After acquiring multiple gaming entities, they needed to establish a consistent, enterprise-ready approach to privacy reviews. Each group operated with its own workflows, which made it challenging to maintain alignment or produce clear, centralized reporting. Teams brought diverse practices shaped by their individual histories and varying regional requirements, which added complexity to collaboration.

To move toward a shared model, the enterprise required a clear business case for transitioning to a centralized, customizable privacy review process supported by a modern tool. Achieving alignment required simplifying coordination across teams and ensuring that privacy managers and reviewers could work effectively across all entities.

Building a unified privacy review experience

Our team implemented a centralized web application designed to support all privacy review activities in one place. The solution reflects the established privacy workflow of the broader gaming organization, enabling teams to submit reviews, evaluate requests, and manage approvals within a single environment. It also supports review and approval steps for Data Protection Impact Assessments (DPIAs) and Records of Processing Activities (ROPAs), ensuring coverage across requirements.

To support adoption, our team developed a persona-based training approach. The effort included targeted instruction, short instructional videos for end users and privacy managers, and ongoing engagement to maintain alignment throughout development. Close, consistent collaboration with stakeholders helped ensure the solution reflected the needs of all entities and supported a smoother transition to a shared privacy governance model.

Strengthening collaboration and consistency

The unified web application provides the enterprise with a single environment for managing privacy reviews across the acquired entities. By replacing disconnected workflows, teams now have clearer visibility into requests, decisions, and approvals. Teams also have the ability to automatically generate outputs to support regulatory reporting, decreasing the need for manual efforts.

Active stakeholder involvement throughout development contributed to a smoother user acceptance testing process and ensured the tool aligns with day-to-day needs. The consolidated approach also enables more reliable enterprise-level reporting, giving stakeholders a clearer view of activity across the privacy landscape.

This transition, reinforced by training and change management, helped the acquired entities adopt a shared governance model. As a result, the enterprise is better positioned to maintain consistency, strengthen communication, and support compliant operations as integration continues.
